All Policies- Please Review

 

A non-refundable retainer equal to thirty percent (30%) of the total service cost is required to secure your event date.

Clients may choose to submit the required 30% retainer or pay the total service cost in full at the time of booking. Full payment made at the time of booking includes a non-refundable retainer portion equal to thirty percent (30%) of the total service cost.

If only the retainer is submitted at booking, the remaining balance must be paid in full no later than twenty-one (21) days prior to the scheduled event date.

All bookings made within fourteen (14) days of the scheduled event date are non-refundable.

By completing your purchase, you acknowledge and agree to the Duval Sistas 360 Service Agreement, Terms & Conditions, and Refund Policy available on this website.


 

To ensure a smooth and successful setup, please review the following requirements for your Duval Sistas 360 Photo Booth experience:

  • A minimum setup area of 10 ft x 10 ft is required.
     
  • Access to a standard electrical outlet within 10 feet of the setup area must be provided.
     
  • The setup area must be flat, dry, and free of obstructions.
     
  • Outdoor setups must be covered and protected from weather conditions including rain, wind, and extreme heat.
     
  • Adequate setup time (45–60 minutes) must be allowed prior to the scheduled service start time.
     
  • Service time begins at the scheduled event start time and will not be extended due to delays in venue access or guest readiness.
     

Failure to meet these requirements may result in delayed setup or inability to safely operate the equipment.


 

For the safety of all participants and to ensure proper operation of the equipment, the following guidelines must be followed while using the Duval Sistas 360 Photo Booth:

  • No more than 3–4 guests may stand on the platform at one time.
     
  • Guests must follow all instructions provided by Duval Sistas 360 staff.
     
  • No running, jumping, or horseplay is permitted on or around the platform.
     
  • Guests should avoid wearing loose clothing or accessories that may interfere with equipment.
     
  • Food, drinks, and open containers are not permitted on the platform.
     
  • Children must be supervised by an adult while using the booth.
     
  • Guests who appear to be under the influence of alcohol or engaging in unsafe behavior may be restricted from using the booth.
     

Duval Sistas 360 reserves the right to refuse service to any guest who does not follow safety guidelines.


Policy & Terms

The Wrapped in Courage Breast Cancer Awareness Fashion Show is a purpose-driven production hosted by the Lillian Key Lewis Foundation and produced by Duval Sistas 360. This event is designed to bring awareness, support, and encouragement to breast cancer survivors, those currently in treatment, and families impacted by breast cancer.

By registering and submitting payment for participation, you agree to the following terms and policies:

Participation in the fashion show includes (based on selected package):

✔️ Runway participation
✔️ Official model event shirt
✔️ Professional runway photos
✔️ Program book feature (select packages)
✔️ Magazine feature (select packages)
✔️ Photoshoot (select packages)
✔️ Tickets for family and friends
✔️ Gift bag
✔️ Runway coaching support


❌ WHAT IS NOT INCLUDED

The following are not included in participation packages:

  • Hair services
  • Makeup services
  • Transportation to/from rehearsals or event
  • Lodging or accommodations
  • Personal wardrobe/shoes unless otherwise specified
  • Additional tickets beyond those included in your package
  • Meals outside of event provisions (if applicable)
     

💳 PAYMENT POLICY

To secure participation:

  • A minimum 50% non-refundable deposit is required
  • Remaining balances must be paid in full by the final payment deadline


 

📅 Payment Deadlines:

  • Deposit Due: Within 24–48 hours of package selection (to secure spot)
  • Final Balance Due: September 1, 2026
     

Failure to complete payments by the final deadline may result in:

❌ Removal from the show
❌ Forfeiture of all payments made


💸 EARLY BIRD DISCOUNT

Participants may receive a:

✨ 17% Early Bird Discount

To qualify:

  • Payment must be made in FULL
  • Must be completed by June 13, 2026

⚠️ Discount applies to full payments only and cannot be combined with other promotions unless stated.


🚫 REFUND POLICY

  • All deposits are NON-REFUNDABLE
  • All payments are non-refundable once submitted
     

Due to the nature of event planning, production costs, and secured services:

❌ No refunds will be issued for:

  • Schedule conflicts
  • Personal emergencies
  • Withdrawal from participation
  • Failure to attend rehearsals or event
     

🔁 TRANSFER POLICY

  • Participation may be transferred to another eligible model only with written approval
  • Transfer requests must be submitted at least 30 days prior to the event
  • Administrative fees may apply
     


🎥 RUNWAY ASSESSMENT & COACHING

Traditional castings are not required.

All participants must:

✔️ Submit a Runway Assessment Video (instructions provided)
✔️ Participate in runway coaching sessions as scheduled

This ensures all models are properly prepared for show day.


🗓️ REHEARSAL REQUIREMENTS

Participation requires commitment to scheduled rehearsals.

  • Attendance at mandatory rehearsals is required
  • Rehearsal dates will be provided in advance

Failure to attend required rehearsals may result in:

❌ Removal from the show without refund


👗 MODEL RESPONSIBILITIES

All participants agree to:

✔️ Arrive on time to all rehearsals and event call times
✔️ Maintain professional behavior
✔️ Follow all instructions from production staff
✔️ Represent the event respectfully


📸 MEDIA & PROMOTIONAL USE

By participating, you grant permission for:

✔️ Photos and videos to be used for marketing
✔️ Social media promotion
✔️ Future event promotion

No compensation will be provided for media use.


⚠️ LIABILITY DISCLAIMER

Duval Sistas 360 and the Lillian Key Lewis Foundation are not responsible for:

  • Lost, stolen, or damaged personal items
  • Injuries sustained during rehearsals or event
  • Travel-related issues or delays
  • Personal conflicts or scheduling issues

Participation is at your own discretion and responsibility.

 This Refund Policy governs all 360 Photobooth services provided by Duval Sistas 360 ("Company", "we", "our", or "us"). By booking services with Duval Sistas 360, you ("Client") agree to the following refund terms.

1. Non-Refundable Retainer

A non-refundable retainer equal to thirty percent (30%) of the total service cost is required at the time of booking in order to secure your event date and services with Duval Sistas 360.Client may elect to pay either:

  • The required non-refundable 30% retainer  OR 
  • The total service cost in full at the time of booking  

Full payment made at the time of booking includes a non-refundable retainer portion equal to thirty percent (30%) of the total service cost.By submitting either a retainer or full payment, the Client acknowledges and agrees that:

  • Thirty percent (30%) of the total service cost is non-refundable under any circumstances.  
  • This amount secures the requested event date and compensates Duval Sistas 360 for administrative time, scheduling, preparation, and the potential loss of other bookings.  

Your event date is not considered confirmed until the required retainer or full payment has been received.

2. Remaining Balance

If Client elects to submit only the required 30% retainer at the time of booking, the remaining balance must be paid in full no later than twenty-one (21) days prior to the scheduled event date.Failure to submit the remaining balance by the required deadline may result in cancellation of services by Duval Sistas 360 without refund of any monies previously paid.All payments made within fourteen (14) days of the scheduled event date are non-refundable.

3. Client Cancellations

Cancellations made fourteen (14) days or more prior to the scheduled event date may be eligible for a refund of payments made beyond the non-refundable retainer portion equal to thirty percent (30%) of the total service cost.Cancellations made within fourteen (14) days of the scheduled event date are non-refundable.

4. Rescheduling

Requests to reschedule must be submitted in writing at least seven (7) days prior to the original event date and are subject to availability.Duval Sistas 360 allows one (1) courtesy reschedule within sixty (60) days of the original event date.All payments made, including the non-refundable retainer portion, will be applied toward the new event date.Additional rescheduling requests may be subject to new booking fees.

5. Add-On Services

Any add-on services selected by the Client at the time of booking or added after the initial booking shall be considered part of the total service cost and are subject to all terms outlined in this Refund Policy.All add-on services are non-refundable once purchased and may not be transferred to another event date except in the case of an approved reschedule in accordance with this policy.

6. Company Cancellations

In the unlikely event that Duval Sistas 360 must cancel services due to unforeseen circumstances beyond our control, Client will be offered the option to:

  • Receive a full refund of all payments made  OR 
  • Reschedule the event date at no additional cost, subject to availability.  

7. No Shows

Failure to provide access to the venue at the agreed-upon setup time or failure to proceed with the event as scheduled will be considered a cancellation by the Client and will result in forfeiture of all payments made.

This Service Agreement ("Agreement") is entered into between Duval Sistas 360 ("Company") and the undersigned Client ("Client") for the provision of 360 Photo Booth services for the event described below.

1. Event Details

Client agrees to provide accurate event details including:

Event Date

Event Location

Setup Time

Service Start Time

Service End Time

Client acknowledges that service time begins at the scheduled start time listed on this Agreement, regardless of actual setup completion.

2. Booking & Retainer

A non-refundable retainer equal to thirty percent (30%) of the total service cost is required to secure the requested event date.

The event date is not confirmed until the retainer has been received.

The retainer is:

Non-refundable

Non-transferable

Required to reserve services

The retainer compensates Duval Sistas 360 for administrative time, scheduling, preparation, and the potential loss of other bookings.

Full Payment Option

Client may elect to pay the total service cost in full at the time of booking.

Full payment made at the time of booking will be subject to all terms outlined in this Agreement, including cancellation, rescheduling, and refund policies.

Payments made in full within fourteen (14) days of the scheduled event date are non-refundable.

Protection from weather conditions

Access to a standard electrical outlet within ten (10) feet of the setup area

Duval Sistas 360 reserves the right to refuse setup if the environment is deemed unsafe.

8. Damage to Equipment

Client assumes full responsibility for any damage to Duval Sistas 360 equipment caused by:

Event guests

Vendors

Children

Venue staff

Any persons attending the event

Client agrees to pay the full cost of repair or replacement for any damaged equipment resulting from misuse or negligence.

9. Use of Photos & Videos

Duval Sistas 360 reserves the right to use any photos or videos taken during the event for marketing and promotional purposes unless Client submits a written request to opt out prior to the event date.

10. Limitation of Liability

Duval Sistas 360 shall not be liable for failure to perform services due to circumstances beyond its reasonable control including but not limited to:

Power outages

Weather conditions

Venue restrictions

Acts of God

Technical issues caused by venue power supply

Guest misuse of equipment

11. Chargebacks

Client agrees not to initiate any chargeback with their bank or credit card company for any payments made to Duval Sistas 360.

In the event of a chargeback attempt, Client agrees to reimburse Duval Sistas 360 for any legal fees, collection fees, court costs, and administrative expenses incurred in disputing the chargeback.

12. Agreement Acceptance

By signing below, Client acknowledges that they have read, understood, and agreed to the terms outlined in this Service Agreement, as well as the Duval Sistas 360 Terms & Conditions and Refund Policy available on the Company website.

3. Setup & Breakdown

Client agrees to allow Duval Sistas 360 adequate time for setup and breakdown of equipment before and after the scheduled service period.

Service time begins at the scheduled event start time, not at the completion of setup.

4. Overtime

Overtime is billed at a rate of $175 per additional hour and must be approved by Duval Sistas 360.

Overtime fees must be paid in full prior to the extension of service time.

5. Damage to Equipment

Client assumes full responsibility for any damage to Duval Sistas 360 equipment caused by:

  • Event guests
     
  • Vendors
     
  • Children
     
  • Venue staff
     
  • Any other persons present at the event
     

Client agrees to pay the full cost of repair or replacement for any damaged equipment resulting from misuse, negligence, or failure to follow instructions provided by Duval Sistas 360 staff.

6. Use of Photos & Videos

Duval Sistas 360 reserves the right to use any photos and/or videos taken during the event for:

  • Marketing
     
  • Promotional materials
     
  • Social media
     
  • Website portfolio
     
  • Advertising
     

Unless Client submits a written request to opt out prior to the event date.

7. Travel Fees

Travel fees may apply to events located outside of Duval County. Any applicable travel fees will be disclosed to the Client prior to booking confirmation.

8. Force Majeure

Duval Sistas 360 shall not be held liable for failure to perform services due to circumstances beyond its reasonable control including but not limited to:

  • Acts of God
     
  • Severe weather conditions
     
  • Power outages
     
  • Venue restrictions
     
  • Government regulations
     
  • Natural disasters
     
  • Emergencies or illness
     

9. Limitation of Liability

Duval Sistas 360 shall not be liable for any indirect, incidental, or consequential damages including but not limited to:

  • Loss of enjoyment
     
  • Event delays
     
  • Guest misuse of equipment
     
  • Technical malfunctions caused by venue power supply
     
  • Injuries sustained by guests while using the equipment improperly
     

10. Chargebacks

Client agrees not to initiate any chargeback with their bank or credit card company for any payments made to Duval Sistas 360.

In the event of a chargeback attempt, Client agrees to reimburse Duval Sistas 360 for any and all legal fees, collection fees, court costs, and administrative expenses incurred in disputing the chargeback.

11. Acceptance of Terms

By submitting payment and booking services with Duval Sistas 360, Client acknowledges that they have read, understood, and agreed to all Terms and Conditions outlined herein.
